<br />
One of the most important items to note is that the RCM is a non-profit business league. Every one of our members is a volunteer, and we don't receive a payment for the work that we do, nor is the organization racking up money from producing shows.<br />
<br />
To quickly recap our answer on app fees, we charge a fee for two primary reasons:<br />
<ul>
<li>Yes, we absolutely consider this revenue for the show.</li>
<li>From the point of view of an applicant, charging a nominal fee is important as a checkpoint. Only serious businesses, with serious intent to join our show, will consider paying the fee. If we opened up the apps without a fee, we could be flooded with applicants who aren't taking the process of making and selling as seriously as we are. It already takes us hours upon hours to choose vendors for the show, and this is a good way of letting people self-select into the consideration process.</li>
</ul>
In the last main defense of charging a fee, our $10 app fee is the lowest among what we consider to be our peer shows. Other indie craft shows actually charge you the entire booth fee upon application - many hundreds of dollars - and refund you a portion of it if you're not juried in.<br />
<br />
Behind-the-scenes, this comment led to an interesting conversation amongst the RCM members. One thing we've not seen posted in other places is a realistic breakdown of what it takes, financially speaking, to run a craft show. So in the interest of transparency, that's what this blog post is really about.<br />
<br />
This post isn't exactly what we're spending for Spring Bada-Bing, but it's very much in the ballpark. We hope that by laying out our budget, everyone can gain a better understanding of what's happening in the background leading up to the show. <br />
<br />
We start every craft show with a budget of what we expect to bring in and what we expect to spend, based on our previous experiences and whatever new research we've done. Makes sense, right?<br />
<br />
<h4>
<u>Incoming</u></h4>
<br />
First up: the revenue we expect to generate. We generally expect to get roughly three applications per spot in our show (give or take), since that's the pattern we've seen in the past. For our budget, we estimate that we will have 140 applicants. For this show in particular, we have 53 booths, some of which are standard "inside" tables, some are larger "outside" booths (for which we charge more), and some vendors are paying for electricity. And finally, we get sponsors for our show, some of whom donate in-kind trades, and some of whom write checks.<br />
<br />
For this example, here's our expected revenue:<br />

<u>Outgoing</u></h4>
<br />
Now it gets fun. $7000 and change sounds like a fair bit of moolah, right?<br />
<br />
First up, we need a rental space. The price for this can vary WILDLY depending on where we're going, what day of the week we book (which is why we used to do Sunday shows - to catch the price break), and whether we need to rent out a parking lot for our customers. We try to keep this show free to attend, so that our customers will spend their money at our vendors' tables, so ample free parking is a pretty big deal for us. We pick event spaces that aren't too big or too small, that are easy to find and travel to, and make sense for our craft shows. For this example, we're going to say that the space costs $750, although for some shows we've spent double that.<br />
<br />
Since this particular show includes an outdoor component, we need to rent a tent to cover the parking lot at Hardywood. It's a heck of an expense, but we need the tent for shade, protection from wind and rain, and remember: this is early April. With the winter we've had so far, it'll be worth every penny. Add in the cost of renting tables and chairs for our vendors, delivery, etc... and this is a considerable expense for our show.<br />
<br />
The single biggest expense is advertising and marketing the show. Every spare penny (and then some) is spent on getting the word out that the show is happening. There are a few places we always advertise, and then every show we try a few new things to see if we can make a bigger impact. We print flyers to post around town, postcards to distribute, handbills - whatever collateral we can to get the word out. Budget depending, we also try to afford swag bags to give away to the first "x" number of customers. It's a nice gesture, and gives our sponsors a bit more for their money too, since they'll be promoted on the bag, and can provide goodies for our customers.<br />
<br />
We also buy insurance for the show, since you know, duh.<br />
<br />
As not only craft-show-throwers, but also frequent craft-show-vendors, we know how nice it is to feel loved when you get to a show. Especially since we were probably up late the night before, and up early that morning, and then looking forward to a long day of standing and being "on." So we try to treat our vendors right, and one way we do that is to provide breakfast and coffee while everyone gets set up, plus a snack for the middle of the show. It is a small thing that provides a pretty big perk for everyone involved, so it's important to us.<br />
<br />
Finally, since we collect our fees via Paypal, there's the very real expense of the transaction costs for all of the fees we take in. It doesn't seem like much per transaction, but it adds up real fast over the cost of the show.<br />
<br />
So, here's where we are for our hypothetical-but-realistic example:<br />

$750 - event space rental fee<br />
$2700 - equipment rental fee<br />
$3000 - marketing and advertising<br />
$400 - insurance<br />
$500 - food for vendors<br />
$230 - Paypal fees<br />

<u>Making it all add up</u></h4>
<br />
There's sort of an obvious problem here already, isn't there? Based on these initial budgets, we are $530 in the hole to put on this show. So now we start getting creative. The easiest solution is to find more sponsors for the show, which we are still accepting for SBB if you're interested! (Just <a href="http://www.richmondcraftmafia.com/contact.htm" target="_blank">contact us</a>, and we'll send you the sponsorship package.) If it's early enough that the app is still open, maybe we try and drum up more applicants. Besides that, we start whittling away at the numbers, primarily in the marketing and advertising. Maybe we buy a smaller ad in a couple of places. Maybe we can get a better deal on the rental space if we pay early and in full. Maybe we buy a little less food than we did last time for the vendors. Maybe the RCM folks chip in to cover the difference. Maybe there was a surplus from the last show that we dip into for this one. These are all solutions we've employed in the past. In the end, we make it work.<br />

<u>The bottom line</u></h4>
<br />
We are always trying to make our show the absolute best we can for our vendors and our customers, so that everyone wants to come back again next time. We run as much as we can on volunteer hours, freebies, and our fantastic looks to put together an amazing show. In addition to that though, there's also the lovely purgatory of being waitlisted. Since that status can come with its own set of mixed feelings, let's talk this one through too, shall we?<br />

<u>Why did I get waitlisted?</u></h4>
<br />
I am gonna rip this one straight from the <a href="http://rcm-offtherecord.blogspot.com/2014/03/decisions-decisions.html" target="_blank">Decisions, decisions</a> post:<br />

You could very well be a vendor who's gotten into our shows lots of times in the past, but as we were balancing the show, and <i>especially</i> as we were balancing your particular category, we needed to make sure we had the right mix. <br />
<br />
<br />
<h4>
<u>Does anyone ever actually get taken off the WL?</u></h4>
<h4>
</h4>
<br />
In the not-quite-two-weeks since the decisions went out, we've already pulled four people off the waitlist. People's plans change, which creates openings in the show. I won't give you false hope: the closer we get to the show, the less likely you are to be contacted, but there's still a chance. There have been plenty of shows where, despite a vendor's best intention of being there on show day, life has happened and they can't make it, and we find out just days before the show. We never want to have an open booth if we can avoid it, so we will try to fill it - even with only a day or two to go. <br />
<br />
We typically try to do a one-for-one switch between the person who can't make it and the person we want to replace them. So a 2-D artist with an indoor booth is most likely - but not always - going to be replaced by someone in the same category with the same booth preference. If someone on the waitlist fits our needs to balance the show, even if it's not a direct match, then we'll select them as appropriate. We cast votes as a group for who comes off the waitlist, much as we voted during the initial jury process.<br />
<br />
<h4>
<u>What can I do to get off the WL? </u></h4>
<br />
This feels incredibly obvious to state, but the first thing you can do is be nice. I know that the sting of being waitlisted can sometimes feel just as bad
as the sting of getting a hard "no, thanks," but take a few deep
breaths before you let your feelings get too bitter. There have been times when people have emailed us a snippy reply to their waitlist notification, or even said something in person to one of the jurors. Remember: we know how it feels too. We're just trying to make the best possible show for our customers and the other vendors. Being less-than-nice isn't going to help you.<br />
<br />
The second key is flexibility. If an indoor vendor can't make the show, and you selected "outdoor only" as your preference, then we're less likely to ask you to join the show. If your application had strict preferences for your booth set-up, or if you indicated other restrictions on your ability to participate, that makes it harder for us to slot you in to an available booth. Similarly, and there's not much anyone can do about this, we're more likely to take a local person at the last minute than to ask someone three states away to make plans for a trip to Richmond with practically no notice. <br />
<br />
<h4>
<u>How can I avoid being waitlisted next time?</u></h4>
<br />
The advice here is very similar to what was mentioned in the <a href="http://rcm-offtherecord.blogspot.com/2014/03/decisions-decisions.html" target="_blank">Decisions, decisions</a> post:<br />
<ul>
<li>Take great photos. Here are some more quick reminders of photo do's and don'ts:</li>
<ul>
<li>Let us see the details in some photos, and the variety of what you do in other photos.</li>
<li>The best background for indie craft shows is plain white. The lightbox we use personally is literally hacked together out of an old drawer from our kitchen, some dowels and scrap wood, a long piece of white canvas, two clamp lamps from the hardware store, and white trashbags to diffuse the light. (I'll have to post a pic some day - it's kind of hilarious how ridiculous it looks.) But can you tell how janky it is when we send in app photos? Heck no.</li>
<li>Fine arts craft shows typically prefer a black-to-white gradient background, which is fine if that's the set-up you have.</li>
<li>Focus on the thing you want us to see. Crop accordingly. If you're photographing your earrings and they're hanging off a teacup's edge, make sure the teacup isn't the star of the photo. And really, maybe rethink the teacup as a prop entirely. Props should be relevant.</li>
<li>Follow the sizing guidelines. We've seen too many apps with thumbnail-size photos that get grainy and blurry when they're expanded for app viewing. If you're not technically savvy, some quick googling will lead you to sites in plain English that can help. (I know this from my own experience!)</li>
<li>Stay away from Instagram filters, unless you're a photographer and that's your thing.</li>
</ul>
</ul>
<ul>
<li> Again, tell us why you're different from other vendors. It's okay to say that you're inspired by nature, but a lot of people are too. Instead of generic "nature," tell us that you're inspired by the feeling of sitting at a campfire at 9:30 on a summer's night when the very last tinges of sunlight are fading, and the birds are settling in for the night with their last chirps. Instead of saying that you screenprint t-shirts, tell us that you source them from American-spun cotton, and American-sewn factories, and that you screenprint with eco-friendly inks that are designed to wear well. Differentiate yourself from other people in your category.</li>
<li>Try, try again. Show us new stuff. Keep making awesome things. </li>
</ul>

Our acceptance letters for Spring Bada-Bing have gone out! Right now, 54 vendors are ramping up production to bring the absolute best handmade goodness to our customers at Hardywood in just under a month.<br />

Which, on the flip side, means that there are over 100 vendors who, unfortunately, didn't get picked to be in the show. Some of them are on the waitlist (which I'll cover in another post) and some just plain weren't picked at all.<br />
<br />
<h4>
<u>The hard part</u>:</h4>
<br />
Let's call a spade a spade, eh? Rejection SUCKS. How would we know? Because, dudes, we get rejected from craft shows too. A lot more than we'd like. Sure, we'd love to throw our credentials around and say "but we're members of the *Richmond Craft Mafia.* We are unbelievably amazing at ___(fill in our craft of choice here)___. Your show will be a void, meaningless black hole without us there." But that would be crass, unhelpful, and hey, let's face it, probably a lie. Those other craft shows go on without us, to great success, and we try, try again for the next one.<br />
<br />
Competition is FIERCE. Do the math: there were over 150 applications, for just over 50 spots at our show. That's 3 apps for each spot. And if we look at individual categories, like jewelry, bath & body, or 2-D art, those categories in particular are extra hard. If we let in, say, too many soap makers to SBB, at some point, they would just start cannibalizing each other's sales. Jewelry is its own special story: almost 25% of our applications were from jewelers. Home goods (an incredibly broad category) made up another 25%. If you applied in one of the categories mentioned, you were fighting a tougher numbers battle in a competition that's hard enough as it is.<br />

<h4>
<u>Behind the scenes:</u></h4>
<br />
The key to the entire jurying process is balance. We are building a show with the right number of vendors, especially within a category, selling the right mix of goods, in harmony with the other vendors who will be there. If you take away nothing else from this blog post, let it be this paragraph.<br />
<br />
So let's peel back the curtain for a sec, and talk about how the jurying goes down. After the applications close, each business in the Craft Mafia votes on all the applications individually. We vote "yes," "no," and "maybe." And typically there are a whooooole lot of maybes. It is pretty rare to get a unanimous "yes" or "no" vote. I can tell you that we ALL had a hard time with this year's apps. We all struggled with our own votes, knowing full well that, as a group, we had a lot of work left to do.<br />
<br />
Once the votes are cast, we have a big group meeting, and we sort through the applicant pool by category. We don't have a set number of people that will get in from each category, so as we work on jurying, we're working out the overall show balance. How many jewelers can we squeeze in to the show? Are there enough clothing vendors? Etc...<br />
<br />
Within each category, there are always a few obvious top vendors, based on the voting process. Then we round out the rest of the category. How many spots do we have left? Who's left who would fit well with the businesses who are already juried in? Do we need to consider their secondary category, to balance against the people already chosen for that group? For Spring Bada-Bing in particular: do they want an indoor or outdoor spot? All of these questions (and so many more) get hammered out. It takes HOURS, on top of the hours we've already spent on our own going through the apps.<br />
<br />
At the end of the group meeting we go through all three lists: accepted, waitlisted, and not accepted. There are always gasps, even at this stage of the game, when we list out who didn't make the cut. There are a lot sighs of "oh, MAN, but I love those guys!" We feel for you. We're sorry. And, we trust the process. None of the decision making is ever done lightly, and it's all done to make the entire show well-rounded and as good as it can possibly be.<br />
<br />
So.<br />
<br />
Let's talk about a couple other things...<br />
<br />
<h4>
<u>Some common misconceptions we've heard:</u></h4>
<br />
<ul>
<li><u>"You just let your friends in."</u> Ha! Nope, not even close. I can't even begin to count the number of times that one of our BFF's has had an application in, and just couldn't make it through the jurying process. As with any vendor we've seen around at our own shows and other shows, yes, it helps that we know someone and can vouch for their set-up, their professionalism, their quality of work, etc... but sometimes even that's not enough for a vendor to make the cut. Remember, we're balancing an entire show for the right mix of goods and artists.</li>
</ul>
<ul>
<li> <u>"I've made it in before, I'm a shoe-in this time."</u> Again... not really. The vendors who get in time and time again are those who shows us new stuff every time. A few jury processes back, there was one vendor in particular who I had decided ahead of time I *wasn't* going to vote for, because they do make it in just about every time, and I wanted to shake up the vendor list. Then I got to their app, and dang if they didn't have entirely new designs, with entirely new processes, and it was AMAZING. Of course I voted them in. Go ahead and bring that design on game day, obviously, but show us what else you've been up to when you apply.</li>

<u>Some tips to make your next application better:</u></h4>
<br />
<ul>
<li>We can't stress enough how important good photos are. Get superfluous items out of your shot. Take clear photos of your work. Don't make someone wonder "what am I looking at here?" or "what are they selling me in this photo?" Make sure the lighting is good. Using a flash is almost always a bad idea - it creates harsh bright spots and dark shadows. Your photos need to tell the WHOLE story. Yes, there's a description box, but sometimes the photos and the descriptions aren't reviewed together, and the photos are ten times more important than your words.</li>
</ul>
<ul>
<li>Don't be cutesy. You are running a business, and selling yourself to other business owners. Take yourself seriously, so we know you'll take our show seriously. That said, you don't have to be robotic or antiseptic in your application. Let your voice come through, tell us why you're passionate about your craft and your business. Tell us why working with your spouse makes you a perfect team. Tell us about how a snow day with your kids inspired a craft-a-thon that led to your business. Unless it's super relevant, you can skip your resume about where you went to school and what your job history has been. And finally, we need your story, but we don't need a novel. 5-ish sentences is usually plenty.</li>
</ul>

<li>This one was important enough to get its own bullet: tell us what makes you different. If you make your own garments, and you design the fabric too, TELL US. Otherwise, we'll assume you bought it. If you make jewelry, and you make each bead or finding by hand, TELL US. If you make your own essential oils from scratch before adding them to your perfumes, TELL US. If you're a t-shirt designer, and you draw each design and have them screenprinted down the street by a friend with an eco-friendly shop, TELL US. It doesn't automatically hurt your application if every single step isn't done by your own two hands, and your partnerships with other businesses help us understand your process. (Obviously if you don't make *any* of your product by hand, then you're not the right fit for our show.)</li>

<u>And after all that:</u></h4>

You could be right. We could be wrong. You might have been perfect for our show, and yeah, it's our loss, and our customers' loss. If you need to let off steam because you're angry with us, go grab a beverage with a friend and rail against the tyranny and injustice of it all. What you don't want to do is send a snarky email to the jurors implying that they didn't do their job, or that they are idiots, or that it was a total waste of time on your behalf to deal with them by applying. If you're on the waitlist, you DEFINITELY don't want to make this your strategy. All you're doing is sewing ill-will for the next time your lovely jurors encounter you, whether it's the next jury session, or another craft show, or out in the real world. It's okay to be fuming mad, and it's okay to not reply back to an email with news you didn't want to hear. Calling us names isn't going to make us want to work with you later.<br />
<br />
So keep your head up. Keep applying to lots of shows - not just ours. Talk to us when you can. We can't give everyone individual feedback, but if you run into one of us somewhere, we're almost always happy to give you tips to make your application stronger. If you're on the waitlist, it's okay to hold out hope. We're already dipping into the waitlist for SBB, and notifications went out yesterday. And once, with two days notice, we even pulled someone off the straight-up rejected list, because we knew she could fit into the show, with enough goods, at the last-minute, and she ROCKED that show. (Yeah, it's dang rare for that to happen, but it *did* happen.)<br />

We have recently graduated a new crop of RCM alums, which means it's also time to bring in a fresh round of new faces to our group. Therefore, we are opening up the application process to join the Richmond Craft Mafia! <br />

What is the Richmond Craft Mafia (aka RCM)?</h3>
I sure hope you already know the answer to this one! We are a non-profit consortium of independently-owned arts and crafts businesses from the Richmond metro area. We have members from Colonial Heights to Northside to the West End, and everywhere in between. We put on two craft shows each year - Spring Bada-Bing and Handmade Holiday - and provide networking and support for our member businesses as well as the community at large.<br />

What does joining the RCM entail?</h3>
You will be expected to:<br />
<ul>
<li>join us for regular meetings (scheduled at the membership's convenience),</li>
<li>participate in the planning for our two annual craft shows + other events</li>
<li>contribute to online conversations regarding the group's needs (this primarily occurs on Facebook at the moment)</li>

What are we looking for in a new member?</h3>
First and foremost, we're looking for new members who will fit well into our organization. You should be friendly, willing to help out, and able to contribute.<br />
<br />
We're looking for balance in our membership. This includes the type of business you run, the strength of your business, the new perspectives you'll bring to the group, etc...<br />
<br />
Critically, we need you to be able to devote time to RCM, especially in advance of our two craft shows. These two shows have heavy planning periods in February-April, and in October-December each year. We are working out the details of the show, coordinating lots of moving pieces, and trying to construct the best show possible. We need all hands on deck in order to pull it off. Furthermore, we are working on less intense projects throughout the year, like classes and seminars for the community, that will require your input.<br />

[Edited in italics.] <i>Apparently we scared a lot of you guys off with our warnings against
being over-committed. Being an RCM member isn’t just about eating
bon-bons and jurying applications for craft shows. (Seriously, someone
bring bon-bons next time.) We get it – life is busy and full, and rarely
do we all get the chance to say “phew, life is slowing down.” We also
know that busy people get things done! There *are* a lot of things to
do, but that’s why we need more people to help share the load. If you
can make phone calls, write blog posts, attend meetings, and maybe even
code a little website action or stay on top of a spreadsheet, then
please re-consider! All of us in the craft mafia have busy family lives,
busy businesses, and we even try to relax once in awhile. If you did
not apply because you were afraid of the time commitment, then reach out
to one of us; we’d be happy to chat with you about the realities of
being an RCM member. </i><br />

How many new members are we looking for?</h3>
That depends. We're not looking to replace our new alumni on a one-to-one basis, we're trying to round out our group for the future. We're also more than happy to consider partnership businesses, which could influence how many applicants we accept. While we want to accept every phenomenal applicant, we also need to respect the limits of a well-run group, which means limiting the number of members. Finding the perfect number of new members is a little bit of alchemy, as we balance new people with our existing crew.<br />

<span style="font-family: Arial, Helvetica, sans-serif;">I may be a bit biased here, but as a former high school art teacher, <a href="http://www.art180.org/" target="_blank">ART 180</a> definitely makes my heart </span>flutter. I love seeing all the wonderful work they do around the city. ART 180 partners with other organizations to serve children living in challenging circumstances in Richmond. Their goal is to provide opportunity's for our city's youth to discover ways they can positively engage in and influence their surroundings. Professional artists and volunteers work with youth after school for 12 weekly sessions. Each program grows from the needs and interests of the group of young people being served.</div>
